The email arrives.

An incoming message lands in the hotel’s shared mailbox. The engine reads it, detects the intent, and extracts the key fields — dates, rooms, guests, language — without changing anything in Outlook.

The team sees everything at a glance.

A side panel opens next to the email showing the structured data, live PMS availability, and the relevant FAQ context. The original message remains untouched, right where the reader expects it.

A draft appears — only when asked.

One click on the draft button and a complete reply is generated in the guest’s language, with the correct rates and booking link already filled in. No auto-reply. Nothing leaves the hotel without a human sending it.

Hotel data, handled with restraint.

Mail Intelligence Engine runs on the same Microsoft infrastructure hotels already use for Outlook and Teams. Guest data stays inside the European Union under a signed data processing agreement. Hotel staff interact with the system entirely through Outlook — there is no external dashboard to manage.

Hosting

Azure, Sweden Central.

All processing and storage inside the European Union. No transatlantic data transfer. Built on the Microsoft stack hotels already know, underneath Outlook, Teams, and SharePoint.

Legal basis

AVV on every contract.

A signed data processing agreement (Auftragsverarbeitungsvertrag, GDPR Article 28) governs every engagement. Controller and processor roles, retention periods, and sub-processors defined in writing.

Data visibility

Hotels see Outlook. Nothing else.

Hotel staff work entirely inside Outlook — no admin console, no backend login, no separate system to learn. Configuration and operational data live in Relevo Lab’s managed backend.

AI data handling

Hotel data is not used for model training.

Classification and draft generation run through the Anthropic API under commercial terms. Inputs and outputs are not used to train AI models. No third-party data sharing beyond infrastructure providers.
